JP Virtual provides contractor back-office services, including JobTread implementation and training, workflow automation, system integrations, subcontractor compliance support, and AI readiness consulting. This policy explains what personal information we collect, why we collect it, who we share it with, and what choices you have. It applies to jp-virtual.com, to forms and signups we run at trade shows and other events, and to the marketing emails we send.
We only collect what we need for the specific thing you asked us to do. Here is the full list, broken out by where it comes from.
At industry events and trade shows we sometimes run a signup form, usually reached by scanning a QR code at our booth. These forms cover things like prize drawings and free giveaways. A typical form collects:
When you contact us through the website, we collect your name, email address, and anything else you choose to include, such as your company name, phone number, or a description of what you need help with. We use it to respond to you and to keep a record of the conversation. Submitting an inquiry does not sign you up for marketing email.
When you book time with us through our scheduling link, our scheduling provider collects your name, email address, the meeting time and time zone, and any answers you give to the booking questions. That information is used to schedule the meeting, send you confirmations and reminders, and prepare for the call.
If you subscribe to our updates, we store your email address, any name or company you provided, and a record of when and how you gave consent. Our email platform also records standard engagement information such as whether a message was delivered, opened, or clicked, which we use to gauge whether our emails are useful and to keep our list clean.
Our website uses Google Analytics and Google Ads. These services use cookies and similar technologies to collect information such as your IP address, approximate location, device and browser type, the pages you view, how you arrived at our site, and whether you took an action such as submitting a form. We use this to understand which pages and campaigns are working. Section 8 explains how to opt out.
Our web host automatically records standard technical information when your browser requests a page, including IP address, timestamp, requested file, and browser user agent. These logs support site reliability and security.
Separately from the website, delivering our services means we handle business records that belong to our clients. Section 6 covers that in detail.
We do not use your information to make automated decisions that have a legal or similarly significant effect on you.
Marketing email from us is opt-in. The consent checkbox on our forms is unticked by default, worded plainly, and kept separate from whatever else the form does, so entering a drawing or giveaway, sending an inquiry, or booking a call never enrolls you in marketing.

You can unsubscribe at any time using the link in any marketing email, or by emailing us at the address in section 14. We process unsubscribe requests promptly and no later than ten business days after we receive them. Note that unsubscribing from marketing does not stop transactional or service messages, such as a reply to your question, a meeting confirmation, or a notification that you won a prize.
This one matters enough to state on its own. When we collect a phone number as part of a prize drawing, we use it for one thing: reaching the winner. We do not add drawing entrants to an SMS or text message marketing list, and we do not use those numbers for sales calls. If we ever want to send you marketing text messages, we will ask for your separate, express written consent first, and you will be able to stop them at any time by replying STOP.
If you give us a phone number in a contact form or a booking so that we can call you back about your inquiry, we use it for that conversation and any related follow-up about the work you asked about.
When we run a prize drawing at an event, entry is free, no purchase is necessary, and entrants must be 18 or older. Ticking the marketing consent box does not improve your odds of winning. The specific prize, its approximate value, the number of entries allowed, and the deadline for claiming the prize are announced at the event. Winners are selected at random and notified by phone, email, or in person at our booth. If a prize is not claimed by the announced deadline, we may draw again or keep the prize.
Free giveaway items are handed out at our booth on the spot. We do not collect anything beyond what the signup form asks for, and we do not keep a record of who received which item.
Entry information is stored and managed in Brevo, our email marketing platform, which acts as a service provider to us. Section 9 explains how long we keep entry information.
When you hire us, our work often requires access to systems that hold your business records, including JobTread, accounting platforms such as QuickBooks Online, email, file storage, and subcontractor compliance documents. Those records can contain personal information about your customers, employees, and subcontractors, including names, contact details, addresses, job and financial details, insurance certificates, and license information.
In that work, you decide what happens to that data and we act on your instructions. Specifically:
If you are a customer, employee, or subcontractor of one of our clients and you want to exercise a privacy right over your information, contact that company directly. We will support them in responding.
We do not sell your personal information, and we do not share your contact details with other companies so they can market to you.
We do share information with a small set of service providers who run parts of our business on our behalf, and who are permitted to use it only to provide their service to us:
We may also disclose information when the law requires it, in response to a valid legal request, to protect our rights or someone's safety, or in connection with a sale or reorganization of our business, in which case this policy continues to apply to the information transferred.
Cookies are small files stored by your browser. We use them for two purposes: understanding how the site is used, and measuring our advertising. Because we use Google Analytics and Google Ads, your interactions with our site are shared with Google, and Google may use advertising cookies to show you our ads on other websites.

We use encrypted connections on our website, reputable vendors for storage and email, multi-factor authentication on our business accounts, a dedicated password manager for credentials, and access limits so team members see only what their work requires. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we take these safeguards seriously and review them as our systems change.

Email us at the address in section 14 and we will respond within 45 days. We may need to verify your identity before acting, usually by confirming you control the email address on the record. We will not deny you a service, charge you a different price, or otherwise treat you worse because you exercised a privacy right. If you live in a state with a comprehensive privacy law, you may also have the right to appeal a decision we make about your request. Tell us you want to appeal and we will review it and explain the outcome.
If you are in the European Economic Area, the United Kingdom, or Switzerland, our legal basis for sending you marketing is your consent, and our legal basis for responding to your inquiries, running an event entry you submitted, and operating our business is our legitimate interest or the performance of a contract with you. Alongside the rights above, you may also have the right to restrict or object to certain processing, to receive your data in a portable format, and to complain to your local data protection authority.
We are a United States business and our service providers store information in the United States. If you contact us or enter an event signup from another country, your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country. We designed our forms with data minimization, separate consent, and a visible link to this policy so that the same standards apply wherever you are.
We update this policy when our practices, tools, or events change. The date at the top shows when it was last revised. If we make a change that materially affects how we use information we already hold about you, we will tell you by email or with a notice on the website before the change takes effect.
